The way food is served dramatically impacts your wedding’s atmosphere & flow. Sit-down plated meals create an elegant, formal feeling but require more time & staff. Buffets encourage mingling & offer variety but can create queues & chaos if not managed properly.

Family-style serving (where large platters are placed on each table) creates a warm, communal atmosphere that I absolutely love — there’s something special about passing dishes around & sharing food together. But it requires careful coordination to ensure hot food stays hot & everyone gets enough.

Food stations or grazing tables have become incredibly popular, & for good reason. They’re visually stunning, allow for diverse menu options, & keep energy levels high throughout the reception. However, they work better for more casual celebrations & require strategic placement to avoid bottlenecks.

Beyond the Main Event

Don’t get so focused on the wedding breakfast that you forget about everything else. What about canapés during photographs? Evening food for guests who’ll be dancing until the early hours? That late-night bacon sandwich that becomes legendary wedding lore?

Many caterers offer package deals that include multiple food services throughout the day. This can be cost-effective & ensures consistency in quality & presentation. But don’t feel obligated to use the same caterer for everything if their strengths don’t align with your needs.

Consider the timing carefully. If there’s a long gap between your ceremony & reception, guests will need substantial canapés, not just a few fancy nibbles. Similarly, if you’re planning a long evening reception, people will get hungry again around 9 or 10 PM, regardless of how much they ate earlier.

Logistics Matter More Than You Think

Your caterer needs to work seamlessly with your venue, & this relationship can make or break your reception. Some venues have preferred supplier lists, which might limit your choices but often ensures smooth operations because these caterers know the space intimately.

If you’re using an external caterer at a venue they haven’t worked with before, make sure they visit the space well in advance. They need to understand the kitchen facilities, power supply, access routes for deliveries, & any restrictions the venue might have.

Ask detailed questions about their setup process. When will they arrive? How long do they need for preparation? What happens if there are delays? I’ve seen wedding timelines completely derailed because the caterer underestimated their setup time & guests were left waiting for hours.

Weather contingency plans are crucial for outdoor weddings. Your caterer should have experience with marquee events & understand how wind, rain, or extreme heat might affect food safety & service quality.

Staff Quality Can Make or Break the Experience

The best food in the world won’t save your wedding if the service staff are unprofessional, inexperienced, or just plain grumpy. Unfortunately, this is something you often can’t properly assess until the day itself, which makes it one of the trickiest aspects of caterer selection.

Ask about staff-to-guest ratios & insist on meeting the team leader who’ll be managing your event. Professional caterers should be happy to provide references from recent weddings, & don’t hesitate to contact these couples for honest feedback.

Inquire about staff presentation & behaviour standards. Will they be properly uniformed? Have they been briefed on your wedding timeline & any special requirements? Do they understand the formality level of your celebration?

Contracts & Communication

Read every word of your catering contract — twice. Pay particular attention to cancellation policies, what happens if guest numbers change, & who’s responsible if equipment gets damaged or goes missing.

Establish clear communication channels & timelines. When do you need to confirm final numbers? How will last-minute changes be handled? What’s the process for addressing any issues on the day?

Many couples forget to discuss cleanup responsibilities. Will the caterer handle all washing up & waste disposal? Are there additional charges for this? Make sure these expectations are clearly documented to avoid unpleasant surprises.
